- Organising and maintaining diaries and making appointments
- Dealing with incoming email, faxes and posts, often responding on behalf of the Director/Dean
- Meeting and greeting visitors at all levels of seniority
- Organising and attending meetings and ensuring that the Director/Dean is well-prepared for meetings and providing general assistance during the meeting/presentation
- Taking dictation and Minutes at meetings
- Typing confidential correspondence from the Director/Dean and other personnel
- Producing documents, briefing papers, reports, Minutes and presentations
- Following through to conclusion matters arising from correspondence and meetings
- Briefing the Director/Dean on issues relevant to the smooth functioning of the Department
- Liaising when necessary with all relevant authorities on behalf of the Director/Dean
- Assisting in devising and maintaining office systems, including data management, electronic and
physical record-keeping, filing etc.
Requirements
Diploma in Public Management or equivalent plus a minimum of five (5) years’ secretarial experience, two of which should be at a senior level.
Knowledge of Word Processing, Spreadsheet and other basic Computer Skills
UB6: $140,857 - $201,305
